We Need Your Help

As Bichon Bash X approaches the need for dedicated and committed volunteers to support the event becomes crucial.  We host over 250 guests and their families and five or six volunteers just can't do it all. We need volunteers for set-up on Friday night, for the booths (Bichon Boutique, Adoption Alley, Volunteer Villa, and others), the registration table, and even for poop scoop duty.

Committee Descriptions

Chairs and committee members are desperately needed for planning and organizing this event.

 

Event Committee

  • Recruit Committee Chairs

  • Recruit Volunteers

  • Coordinate Committee Activities

  • Establish Theme

  • Determine date, and identify and reserve location

  • Establish budget

  • Develop schedule, timeline and deadlines

  • Determine guest list (After each event it needs to be cleaned up)

Volunteer Committee

  • Recruit and assign volunteers for committees and the day of the event
  • Coordinate with other committee chairs to determine their needs
  • Develop spreadsheet of volunteer opportunities and volunteers

     

Corporate Relations

  • Recruit volunteers
  • Solicit corporate support for sponsorships, exhibitors, advertisers, prize donations
  • Set up special hotel rates for guests of event.
  • Coordinate with Raffle/Auction Committee to determine their needs

Media & Public Relations

  • Recruit volunteers
  • Develop press releases
  • Design, create, print and/or e-mail event brochure
  • Coordinate with Raffle/Auction Committee to solicit large donations

Website & Invitation Committee

  • Recruit volunteers
  • Update Bash webpages
  • Design, create and e-mail Socializr invitations
  • Update e-mail list
  • Send out additional invitations as needed 

Equipment Rental & Decorations Committee

  • Recruit volunteers
  • Determine needs and vendors
  • Coordinate with other committees to determine their needs
  • Complete cost evaluations
  • Prepare and submit rental and decorations budget
  • Purchase and/or rent and schedule deliveries
  • Receive and coordinate payments for deliveries
  • Coordinate pick ups as needed

Raffle/Auction Committee

  • Recruit volunteers
  • Identify financial goal
  • Solicit donations
  • Coordinate with Corporate Relations Committee for their assistance
  • Develop donor mailing list and solicitation letter
  • Determine cost of raffle tickets and method used to raffle items
  • Determine bidding procedure for larger items
  • Create spreadsheet with all collected items, donor, description, value, etc.
  • Collect all items prior to event
  • Thank you letters and receipts

Catering Committee

  • Recruit volunteers
  • Search for caterer
  • Brainstorm menu(s)
  • Schedule times to taste samples
  • Submit budget
  • Coordinate with Equipment Rentals & Decorations Committee
 

Entertainment/Program Committee

  • Recruit volunteers
  • Determine amount of time available for entertainment/program before and/or during event
  • Identify speaker/auctioneer/master of ceremonies (emcee)
  • Draft scripts
  • Coordinate AV/Sound needs with Equipment Rentals & Decorations Committee
  • Design, create and print program for event
  • Submit budget
  • Coordinate all speakers, etc

Photography Committee

  • Identify and coordinate pet photographer for event
  • Recruit volunteer photographers to provide record of event
  • Coordinate photo webpage on Bash website

Other Bash Volunteer Opportunities

There are many volunteer opportunities on the day of the event.  If you plan on attending but don't feel you can take on any of the volunteer responsibilities listed above, please consider volunteering for a few hours on the day of the event.

SETUP:  Assist with setup for event, including set up and placement of canopies, tables and chairs for Exhibit booths, guest seating and the staging area; covering all tables, set up of AV and sound equipment; posting signage; moving materials and supplies from storage to appropriate event areas, placement of water dishes, poop bags, recycle and trash cans; whatever is needed to get ready for the Bash. Critical job!   Requires 10-15 volunteers on the afternoon before the event and in the morning of the event from 7:00 A.M until 10:00 a.m. 

REGISTRATION: Greet guests; verify registration; issue wristbands, lunch tickets, programs and nametags; receive “at the door” payments and donations; direct volunteers to Volunteer Villa; manage and monitor double gate entry.  Requires at least 4 volunteers per hour from 9:15 to 1:00

PARKING:  Assist with monitoring the parking lot and traffic.  Requires 2 volunteers per hour from 9:30 to 11:00

ACTIVITY AIDES:  Assist with handing out programs, wristbands, lunch tickets, nametags, gift bags; sell raffle tickets, register contest participants. Assist with FurKids in the Adoption Alley.  Assist in Volunteer Villa and Photography booth.  Assist with lunch set up, keep food and drink organized and food area clear. Requires 4 -6 volunteers per hour from 10:00 to 1:00.

SALES:  Assist with product sales in the Bichon Boutique and any food or soda booths.  Assist with raffle ticket sales at registration table and throughout event area.  Requires 2-4 volunteers per hour from 10:00 to 2:00.

RUNNERS:  This is a vital position.  The “runners” pinch hit when and wherever there is a need – substituting for other volunteers during breaks, filling in when no volunteer is available, and assisting the event committee with various special needs. Flexibility is key. Requires 2 volunteers per hour from 10:00 to 2:00.

CLEANUP:  Assist with dismantling and collecting canopies, tables, chairs, water dishes, poop bags, recycle and trash cans; clean up grounds and put away equipment, supplies, etc.  Load materials and supplies for return to storage.  Critical job!  After a long day, it’s very hard to muster the effort to help clean up from the day’s event. The more help we have, the easier the job is for everyone! If you can stay after 3:00 p.m., please consider staying to help.
